AI for small business
Best AI tools for small business: what to use for each job
Most small businesses need two or three AI tools, not ten. Here is which one to use for each job, and what each one can't do.
Start for freeThe best AI tools for small business are the ones that take a job off your list. Most owners need two or three: one general assistant for writing and thinking, the AI already built into the software they pay for, and one tool for the work that brings customers in.
We sorted this list by job, not by rank. Each entry says what the tool does well and where it stops.
If you want the customer side handled from the chat you already use, Replo works inside Claude and inside ChatGPT.
The short list, by job
| Job | Use | Where it stops |
|---|---|---|
| Writing and thinking | ChatGPT or Claude | Can only guess at your market from the web |
| Books, payroll, invoices, leads | Claude's small business plugin, or the AI in your accounting software | Works from your own accounts; can't see competitors' ads or host a site |
| Documents and email in your workspace | Gemini in Google Workspace, or Copilot in Microsoft 365 | Works on your files, not your market |
| Social graphics and flyers | Canva | Design only; no site or sales data |
| Competitor ads, your website, what sells | Replo, in Claude or ChatGPT | No bookkeeping, payroll or customer email |
1. A general assistant: ChatGPT or Claude
Start here. Either one drafts emails, product descriptions, social posts, policies and plans, and both have free plans. Give it your tone and your common questions once, in a project, and every draft starts closer to done.
Pick the one your team already likes. Both now sell plans for small businesses, and both let you connect other tools to the chat.

Where it stops: on its own, a general assistant can't see your sales, your site or which ads your competitors are paying for. It guesses from the web.
2. Back-office AI: the plugin or the AI you already pay for
Anthropic's small business plugin for Claude connects to the tools you already run on, such as QuickBooks, HubSpot, Shopify, Stripe and Gusto. It closes the books, prepares payroll, chases overdue invoices and answers new leads, and nothing sends or pays until you approve it. If you'd rather stay in one place, your accounting and payroll software probably ships its own assistant.

Where it stops: it works from the accounts you connect. It can't see which ads your competitors are running, and it doesn't build or host your site.
3. Workspace AI: Gemini or Copilot
If your business runs on Google Workspace or Microsoft 365, the assistant inside it summarizes threads, drafts replies and builds spreadsheets from your own files.

Where it stops: it works on what's in your workspace, not on what's selling in your market.
4. Design: Canva
For social posts, flyers and menus, Canva's AI features turn a short description into a design on your brand colors.

Where it stops: a graphic isn't a site, and Canva doesn't see which design sold.
5. Customers and sales: Replo in Claude or ChatGPT
This is the job most lists skip: getting customers and knowing what sells. Replo connects to Claude or ChatGPT in one prompt, then:
- shows any brand's live Meta ads and how long each has run
- builds and hosts your site on your own domain
- drafts a page and sends a preview link before anything goes live
- reads last week's sales and the page behind them

Ad research works without an account. Sign in when you want Replo to build your site or read your sales.
Where it stops: Replo doesn't do bookkeeping, payroll or customer email.
How to choose in ten minutes

Frequently asked questions
- What is the best AI for a small business?
- For most owners, one general assistant (ChatGPT or Claude) covers the writing and thinking. Add a tool for the job that brings in money, such as your site and ads, and keep the AI that already ships inside your accounting and design tools.
- Is ChatGPT or Claude better for small business?
- Both write well and both have free plans. Claude has a small business plugin that runs the books, payroll and lead follow-up; ChatGPT has a business plan with shared workspaces. Pick the one your team already likes, then connect the tools you need to it.
- Can AI build my small business website?
- Yes. Replo builds a hosted site from a short brief, a link or a Figma file, on your own domain, and you can ask for it from inside ChatGPT or Claude. A general assistant on its own can write the words but can't host the site.
- Are free AI tools good enough for a small business?
- For writing, often yes. Free plans limit how much you can send each day and what you can connect. Pay when a tool saves you hours every week, not before.
